Default 2 contacts folders

Win XP with Office XP, using Outlook for email. I seem to have 2 Contacts
folders but only 1 shows up on the folder list. When I try to open it, I get
a message saying it cannot be displayed because the folder could not be
opened. Then the address book window opens and if I click the down arrow
next to "Contacts", a second Contacts folder appears. If I click on that
one, no problem, it opens and I can access everything. If I try to delete
the first Contacts folder, I can't. But under the Folders list I see only 1
Contacts folder - the one I can't open. Can anyone help?

In the list from Contacts that shows when I click the Address Book icon, I
see names, display names, email addresses, and distribution lists.

When I click on the Address Book icon on the toolbar, in the show names from
box, it says Contacts and my current list shows. If I click the down arrow
then right click on "Outlook Address book" to get the properties, it says
"No entries in this Address Book" and I get 2 error messages. One is
"Property dialog box could not be displayed. An attempt was made to open an
unsupported property." The next message has the same 1st sentence followed
by "Action could not be completed."

If I right-click on Contacts for the properties, the jGeneral tab says:
Information: Archive Folders and Contact folder: Contacts.

If I right-click the Address Book Folder (under Outlook today), it says the
location is Archive Folders. On the AutoArchive tab, "Do not archive items
in this folder" is checked.

If I right-click the Contacts Folder from the same list, it says: "Type:
Folder containing contact Items, Location Archive Folders, Description:
Contacts Comment".
The Outlook Address Book Tab says: "Show this folder as an email Address
Book. Name of AB: Contacts."

If I go to Tools, Options, Other, AutoArchive, it says it moves old items to
C:...\Microsoft\Outlook\archive.pst. Isn't that my Archive Folder?
I hope that helps.

But what's confusing me is that "Address Book" never shows up in Folder
List unless you created a folder and gave it that name. In its properties,
what type of folder does it say it is? Does it contain anything at all?

The Folder named "Outlook Today" is your default Outlook Data File. It
should never also be your Archive location. I can only assume that at some
point you designated your autoarchive location to be the same as your
default file. See if you can reset the autoarchive location to your
archive file in Tools Options Other Autoarchive...

What exactly do you see in your Outlook Address Book that you do not see
in one of your Contacts Folders? I need to make sure we know where all
your data is before we try to repair your Outlook Address Book.

What I've been telling you is from the Folder List view. My folder list
is as follows:
-Outlook Today - [Archive Folders]
| | Address Book (empty)
| | Calendar
| | -Contacts (This file has info but it is not as current as in the
toolbar's Address Book icon)
| | Mailing List (ditto)
| | Deleted Items
| | Drafts
| | +Inbox (current info)
| | Infected
| | Journal
| | List
| | Notes
| | Outbox
| | Sent Items (current info)
| |_ Tasks
|
|-Archive Folders
| Calendar
| Deleted Items
| Garden Image (contains items from 2002-3)
| +Inbox (contains 1 folder Microcosm)
| Journal
| Sent Items (contains items from 2004)
|_ _ Tasks

My problem is that I can't find the contacts that are associated with the
Address Book icon on the toolbar. I know there's no info in the address
book on the above list, but where is the AB icon getting names, email
addresses, and distribution lists from? I don't know how to find that and
transfer it into my contacts folder.

But there is no information in the Address Book. The Address Book can
only display information that resides in a Contacts Folder. So you have
a Contacts Folder in your Outlook profile that contains that
information. Before we repair your profile, it is essential that you
identify the Folders that contain your most current information. We
cannot determine that for you.
That is why I told you to use Folder List view to display every Folder
in your Profile so we can see where your most current data actually
resides. (Use the icon on the bottom pane of the Navigation Panel to
display the Folder List View). Once we know which set of Folders is
actually the most current, we can easily repair your Profile. The names
of your Folders do not help us because they have become corrupt along
the way. You must examine their contents.

I have no idea how that happened. FYI there is another Folder on the
same level as Outlook Today - [Archive Folders] named Archive Folders.
In that folder there are folders for Calendar, Deleted Items, Garden
Image (one of my old folders), Inbox, Jnl, Sent Items & Tasks. In the
Sent Items are things from 2004. In the Deleted Items are items from
2003. In the Inbox only one folder appears and it too has old stuff in
it.

Re my Data: It appears to be intact except that the Contacts List and
its subfolder Mailing List do not have the most current info in them. I
can only get to the current & correct list by clicking on the Address
Book icon in the toolbar. The Address Book folder is empty. What I'd
like to do is replace the Contacts info with the AB icon info.

I'm not sure which of these you want so I'll give you all:
Right-click on Outlook today (Archive Folders): General Tab, Archive
Folders, click on Advanced:
Name: Archive Folders
Filename:
C:\DocumentsandSettings\DeniseTackett\LocalSetting s\ApplicationData\Microsoft\Outlook\Outlook.pst

If I click on File, Data File Management, 2 files named Archive show
up: The settings for the first one (mail delivery location) are the
same as above. The second one has nothing under Comments and the path
is the same except instead of Outlook.pst, it says Archive.pst.

I also have another path but I can't seem to recreate how I got it.
On the off chance that this is what you're looking for, here it is:
res://C:\ProgramFiles\MicrosoftOffice\Office10\1033\outl wvw.dll/outlook.htm

I'm sorry to be so troublesome and I really appreciate your patience.

It's easy to get your address books all messed up when you
transfer Outlook data, especially when you use import/export in
the process. Outlook is very intolerant of various methods people
might naturally use and provides no clear instructions on how to
do it.
Fortunately, it's very easy to fix because its just a matter of
redoing your Outlook Address Book settings. Your data is not at
risk here. The first thing you need to do is make sure you know
the name and location of your default Outlook Data File. Then we
need to know your Outlook version to tell you what to do.

What I've been telling you is from the Folder List view. My folder list
is as follows:
-Outlook Today - [Archive Folders]
| | Address Book (empty)
| | Calendar
| | -Contacts (This file has info but it is not as current as in the
toolbar's Address Book icon)
| | Mailing List (ditto)
| | Deleted Items
| | Drafts
| | +Inbox (current info)
| | Infected
| | Journal
| | List
| | Notes
| | Outbox
| | Sent Items (current info)
| |_ Tasks
|
|-Archive Folders
| Calendar
| Deleted Items
| Garden Image (contains items from 2002-3)
| +Inbox (contains 1 folder Microcosm)
| Journal
| Sent Items (contains items from 2004)
|_ _ Tasks

My problem is that I can't find the contacts that are associated with
the Address Book icon on the toolbar. I know there's no info in the
address book on the above list, but where is the AB icon getting names,
email addresses, and distribution lists from? I don't know how to find
that and transfer it into my contacts folder.

But there is no information in the Address Book. The Address Book can
only display information that resides in a Contacts Folder. So you
have a Contacts Folder in your Outlook profile that contains that
information.
The
names of your Folders do not help us because they have become corrupt
along the way.

I can only get to the current & correct list by clicking on the
Address Book icon in the toolbar. The Address Book folder is empty.
What I'd like to do is replace the Contacts info with the AB icon
info.

How did your Archive Folder ever become your default Data File?
The Archive folder never contains your complete Outlook Data and
should not be designated as your delivery location.

I'm not sure which of these you want so I'll give you all:
Right-click on Outlook today (Archive Folders): General Tab,
Archive Folders, click on Advanced:
Name: Archive Folders
Filename:
C:\DocumentsandSettings\DeniseTackett\LocalSetting s\ApplicationData\Microsoft\Outlook\Outlook.pst

If I click on File, Data File Management, 2 files named Archive
show up: The settings for the first one (mail delivery location)
are the same as above. The second one has nothing under Comments
and the path is the same except instead of Outlook.pst, it says
Archive.pst.

I also have another path but I can't seem to recreate how I got it.
On the off chance that this is what you're looking for, here it is:

It's easy to get your address books all messed up when you
transfer Outlook data, especially when you use import/export in
the process. Outlook is very intolerant of various methods
people might naturally use and provides no clear instructions on
how to do it.
Fortunately, it's very easy to fix because its just a matter of
redoing your Outlook Address Book settings. Your data is not at
risk here. The first thing you need to do is make sure you know
the name and location of your default Outlook Data File. Then we
need to know your Outlook version to tell you what to do.

A couple things seem very strange here.
Why would your Archive Folder be your root Outlook data file?
It should never be your default data file.
The Address Book does not show in Folder List. What is
"Address Book?" Did you create a Folder that you named Address
Book?
You'd better tell us how you created your profile and
specified your default Outlook Data File.

I'm not sure this will help but here goes:
Outlook Today-(Archive Folders)
-Address Book
-Calendar
+Contacts
-Mailing List
-Deleted Items
-Drafts
+Inbox...etc.

When I highlight Address Book, the from/subject box says
"There are no items to show in this view."

BUT when I click on the Address Book icon in the Toolbar, a
screen called Address Book comes up with names & email
addresses. In the "Show Names from the:" box, it says
"Contacts". If I click the down arrow, it says:
Outlook Address Book
Contacts (contacts is highlighted)
If I click highlight the Outlook Address Book, It says "No

it. Since then I've tried a bunch of things to correct the
problem and something must have worked - partially. 1. Now I
have a Contacts folder in Outlook Today with a sub-folder
called Mailing List.
2. Last week I created 4 Distribution Lists from Mailing
List but they are nowhere to be found in either folder.
3. If I open the Address Book folder in Outlook Today,
nothing shows up - it's blank.
4. If I click on the Address Book icon in the Outlook
toolbar, a list of names & email addresses appears and it
is here that I find my 4 Distriubtion Lists. In the 'Show
names from' section, it shows Contacts. If I click on the
down arrow, it shows Outlook Address Book and under that it
shows Contacts.
5. There's no Mailing List subfolder associated with this
Contacts folder.
Now, I'm so confused and I've tried so many things to get
this working that I can't remember everything. All I want
is for my stuff to be in one place where I can get to it.
Please help me resolve this if you can. Many thanks in

Wow. 6.
First and foremost remember how you found these files because this
"invisible" data has to be in one of them.
Next you're going to create a new Outlook profile from scratch and set it to
use the same Outlook data file as its default that you are currently using
as your default. You will need all the information on how to configure your
mail accounts because you will need to recreate them when you create the new
profile.
Follow the directions he
http://support.microsoft.com/kb/287072

After you're done, your Outlook Address Book should display your Contacts
Folder correctly. If you think you have any missing Contact data you can
open each of these other files with Outlook's File Open command to see if
they contain anything you think you are missing. Note that files marked
archive.pst will not contain any Contacts since Contacts are not archived.

Wow. 6.
First and foremost remember how you found these files because this
"invisible" data has to be in one of them.
Next you're going to create a new Outlook profile from scratch and set it
to use the same Outlook data file as its default that you are currently
using as your default. You will need all the information on how to
configure your mail accounts because you will need to recreate them when
you create the new profile.
Follow the directions he
http://support.microsoft.com/kb/287072

After you're done, your Outlook Address Book should display your Contacts
Folder correctly. If you think you have any missing Contact data you can
open each of these other files with Outlook's File Open command to see
if they contain anything you think you are missing. Note that files marked
archive.pst will not contain any Contacts since Contacts are not archived.

Six files turned up. Here's what the search shows:

archive.pst C:\DocumentsandSettings\DeniseTackett\Desktop\
backup.pst " " " " "
outlook.pst " " " " "

archive.pst
C:\DocumentsandSettings\DeniseTackett\LocalSetting s\ApplicationData\Microsoft\Outlook
backup.pst " " " " "
" "
Outlook.pst " " " " "
" "

OK now what?

It does seem that way, although I've never seen such a thing as a
"hidden" folder in Outlook. But I've never seen the default data file
marked "Archive" either, so something odd happened here.
I'm reluctant just to have you create a new profile until we're sure
where all your data is. Try this. Make sure you have enabled searching
of hidden files and folders, then search your hard drive for *.pst and
see what turns up.

OK. I did as you asked and when I re-added the Outlook Address Book, I
wound up with the same dilemna as I had before. I was sure to exit and
restart Outlook as directed. It seems as if there is a second Contacts
folder that I can't see.

Still inexplicable since the Outlook Address Book cannot contain
anything that is not in a Contacts Folder.
Just remove and re-add the Outlook Address Book from your profile to
reset your connections. That won't risk losing any data. Make sure you
restart Outlook in between.
Use the instructions he

What am I supposed to reset my autoarchive folder to? It is already
set for archive.pst.
Some of the names & addresses are different from the Outlook Address
Book and the Contacts Folder. The Contacts folder doesn't have my
distrubution lists in it.

It helps a bit. You still did not answer what information appears in
the Outlook Address Book that does not also appear in one of your
Contacts Folders.
Nor what the result of resetting your autoarchive folder is.

In the list from Contacts that shows when I click the Address Book
icon, I see names, display names, email addresses, and distribution
lists.

When I click on the Address Book icon on the toolbar, in the show
names from box, it says Contacts and my current list shows. If I
click the down arrow then right click on "Outlook Address book" to
get the properties, it says "No entries in this Address Book" and I
get 2 error messages. One is "Property dialog box could not be
displayed. An attempt was made to open an unsupported property."
The next message has the same 1st sentence followed by "Action
could not be completed."

If I right-click on Contacts for the properties, the jGeneral tab
says: Information: Archive Folders and Contact folder: Contacts.

If I right-click the Address Book Folder (under Outlook today), it
says the location is Archive Folders. On the AutoArchive tab, "Do
not archive items in this folder" is checked.

If I right-click the Contacts Folder from the same list, it says:
"Type: Folder containing contact Items, Location Archive Folders,
Description: Contacts Comment".
The Outlook Address Book Tab says: "Show this folder as an email
Address Book. Name of AB: Contacts."

If I go to Tools, Options, Other, AutoArchive, it says it moves old
items to C:...\Microsoft\Outlook\archive.pst. Isn't that my Archive
Folder?
I hope that helps.
Denise
