question
My outlook express only saves my "in and sent" email for
about month or so ? can i retrieve old mail and where ? and can i set outlook express to extend the time it saves the mail ? thank you, Glenn p.s. on AOL i have a filing cabinet and i didn't know if outlook has a somilar function. |

Outlook Express does not delete mail on its own.
Do not archive mail on default OE folders. They will eventually become corrupted. Create your own user defined folders for storing mail and move your mail to them. Empty Deleted Items folder regularly. After you are done, follow up by compacting your folders manually while working *offline* and do it often. FileWork Offline (or double click Working Online in the Status Bar). FileFolderCompact all folders. In ToolsOptionsMaintenance: Uncheck Compact messages in background and leave it unchecked. You can retrieve mail with this tool if you have not compacted your folders, and background compacting wasn't checked. You need to create a archive folder and put the messages you wish to retain
in it. If the message stores become too big, they can start losing mail. Don't try to archive in the Sent Items or Inbox in any email client. "glenn" wrote in message ... new folders for "old mail sent" and "received". I compacted all folders - now how do i move the mail over from my inbox to "old mail received folder" that i just set up ? You have to move the mail manually. If you have a lot going to the
same folder, (I should have said this before), click on any one message to highlight it, click Ctrl & A. This will highlight all the messages and you can right click and move them all in one shot. You could set up message rules to automatically put mail in any folder. Like anyone in your address book goes to its own folder, etc. As far as compacting. that has to be done manually too, like you just did. For the average user, once a week is more than enough. If you subscribe to newsgroups, do it more often after deleting messages. To move mail to specified folders, you have to set up a message rule.
See rule #5 he http://www.mindspring.com/~majik/messagerules.htm Failure to compact will not affect the rule. When you delete messages, they are not actually deleted, but marked as available space. Compacting gets rid of them and moves all the saved mail to the beginning of a file. This helps to keep OE running smoothly. It's not exactly the same, but it's similar to defragging. Hope this helps. If you have trouble with the rule, post back and tell me what you want to move where. Ex: All the people in the address book to a specified folder, etc. Don't forget, you have to create the folder before you make the rule. FileFolderNew. Click on Local Folders and name the folder. mention but i went to message rules in OE. I want to move or copy entire "inbox" and "sent" to old mail folders i set up with your help, lets say once a month. I can do this manually now but can i set it on auto ? Also compacting i understand defrag, so this should be done before i move or copy to old mail folder and can that be on also on auto ? One more thing - i have outlook office CD rom and will this give me more options and flexibility than OE for what i am trying to do with mail ? I have never used it. Why couldn't you get to the site I sent? All you had to do was click
on it, or copy and paste to your browser's address bar. You cant move mail *once a month* automatically. You would have to go to the rule, check the box and click Apply Now. The rule was meant to have the mail diverted to these folders every time you got one. You would still get e-mail notification and the folder name would change to bold font and show the number of messages just like the Inbox. If you get a lot of mail and keep it in the Inbox, the folder will eventually become corrupt and you will lose the mail. So don't wait that long. Same with all OE default folders. Empty them, or move the mail often and empty the Deleted Items folder regularly. You should compact the folders after mail is moved or deleted. It can be done automatically, but is causes problems within OE. That's why I asked you to do the following: In ToolsOptionsMaintenance: Uncheck Compact messages in background and leave it unchecked.
